Ghostli helps South African guesthouses and lodges track maintenance, get contractor quotes, and share arrival info with guests. This policy explains what information we collect, why we collect it, and what you can do about it. We keep it short and clear on purpose.
Who we are
Ghostli is built and run in South Africa. If you have a question about your data, email us at support@yourghostli.com.
What we collect
- Your account. When you sign up we store your email address and your name. We do not use passwords. You sign in with a link we email you.
- Your property data. You add properties, rooms, and assets like geysers, generators, and pool pumps. You also add service records and costs.
- Guest info you enter. To build a stay guide, you add things like the guest name, phone number, gate code, lockbox code, and WiFi details. Sensitive codes are stored in encrypted form.
- Vendor info. If you add a contractor, we store their name, email, phone number, and trade.
- Basic usage data. Like most websites, our hosting keeps standard logs to keep the service running and secure.
How we use it
We use your information to run Ghostli. That means we:
- send you a sign in link when you log in
- remind you when an asset is due for a service
- send your job to matching contractors when you ask for quotes
- create a stay guide link for your guests, and where you set it up, send arrival info over WhatsApp
We do not sell your information to anyone.
WhatsApp messages
If you turn on guest messaging, we send booking and arrival messages to the guest phone number you provide, over WhatsApp. We only send messages that relate to the stay.
How we keep it safe
We encrypt sensitive access codes, like gate and lockbox codes, so they are not readable in our database. We host on trusted providers and use secure connections. Our servers and database are located in Europe, so your information is stored outside South Africa with providers that protect it to a high standard.
Who we work with
To run the service we use a few trusted companies. These include our hosting and database provider, our email sending provider, and an AI provider that helps sort your assets by type. Contractors you invite can see the details of the jobs you post to them. That is the point of the quote feature.
How long we keep it
We keep your information for as long as you use Ghostli. If you close your account, we remove your data within a reasonable time, unless the law says we must keep some of it longer.
Your rights
South African law (POPIA) gives you rights over your information. You can ask us to show you the data we hold, fix it if it is wrong, or delete it. To do any of these, email support@yourghostli.com and we will help.
About guest information
Guest details are added by the host, not by us. If you are a host, please only add guest information you are allowed to share, and tell your guests you use Ghostli. If you are a guest and want your info removed, contact your host, or email us and we will pass it on.
Cookies
We use a few essential cookies to keep you signed in and to protect your session. We do not use tracking or advertising cookies.

If we change this policy, we will update the date above and, for big changes, let you know.
